Graduate Program Outreach Coordinator | Spelman College

    The Graduate Program Outreach Coordinator is responsible for both serving as a liaison between the College and graduate/professional schools, and assisting students in their preparation to apply for graduate/professional school programs.

    This position will establish and maintain relationships that will support recruitment, visitation, and bridge programs between the College and graduate/professional schools. This position will also work closely with the Atlanta University Center Consortium in the marketing and promotion of the Fall graduate/professional school fair, and all other fairs associated with graduate/professional school recruitment.

    • Builds formalized relationships annually with key individuals at graduate/professional school sites via feeder programs, memorandums of understanding, and articulation agreements
    • Provides individual counseling to students regarding various career paths, educational paths, and/or next steps based on their interest
    • Counsel and advise parents on matters that address why a student may not get into a graduate program
    • Collaborates with various graduate/professional schools visiting the campus and assist with scheduling information sessions, workshops, and seminars
    • Counsels students in the area of graduate/professional school admissions on topics such as:
    • The application process and writing personal statements and essays
    • Provide guidance on the construction of their personal statement needed for admission
    • Securing financial assistance Navigating graduate/professional school fairs
    • Researching and selecting a graduate/professional school that aligns with their career interest and goals
    • Choosing a graduate admissions exam preparation course service provider, etc.


    • Counsels and organizes annually a summer undergraduate research fair to be hosted on Spelman’s campus for Spelman students
    • Assist Spelman students annually in accessing preparatory courses for graduate/professional school admissions exams, including the GRE, LSAT, MCAT, and GMAT
    • Schedules classroom visitations (as needed) in order to discuss topics such as the graduate/professional school application process, how to work a graduate/professional school fair, upcoming events, etc
    • Develops an effective and efficient means of tracking student participation in summer undergraduate research opportunities annually
    • Provide as needed, graduate/professional school data for various reports dealing with placement, college rankings, accreditation, annual report, strategic plan, etc.
    • Co-present Senior Exit Plan meetings with the department director annually
    • Promotes and markets all graduate/professional school events via email, social media, and department weekly events calendar
    • Monitors and manages budget dedicated to the Graduate Outreach Program;
    • Utilizes Handshake on-campus recruiting platform to coordinate online registration for graduate/professional school fairs
    • Utilizes Handshake on-campus recruiting platform to capture counseling notes and track counseling appointments
    • Assist with student follow-up on First Destination Survey and 6-Month Survey annually;
    • Delivers presentations related to graduate school during the monthly Senior Class Council Townhall Meetings
    • Participates in Admissions events such as “A Day In Your Life” and “Spelbound” along with New Student Orientation
    • Assist in the coordination, planning, and execution of the Spelman Spring semester career and graduate school fair

    Candidate Requirements

    A Master’s degree with 3 – 5 or more years of professional experience in higher education is required. A Master’s degree and previous experience in the area of graduate/professional school admissions/recruitment and/or training is strongly preferred.

    This position requires excellent communication, time management, and organizational skills as well as the ability to efficiently and effectively handle multiple tasks in a high-traffic, fast-paced working environment. A strong customer service focus, with excellent interpersonal skills capable of interacting with students, faculty, staff, parents, and the public at all levels is required.

    Excellent oral communication skills are required when presenting information and responding to questions from students, parents, employees, and the general public in one-on-one or group situations. Incumbent must be able to write business correspondence and procedure manuals plus compose memos, letters, and emails. Also, must be able to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals. Attention to detail and accuracy are important also required.

    To perform this job successfully, an individual must have intermediate-level computer skills using Microsoft Office Suite (Word, Excel, and PowerPoint), and Publisher. In addition to producing correspondence, duties may involve assignments that require creating spreadsheets using formulas, tables, newsletters, and the use of Microsoft Outlook or a similar system and Banner Financial Module.
